Description of the procurement

The Contracting Authority wishes to establish a multi-operator framework agreement for the delivery of virtual event platform services to host events (the ‘Services’).
The aim of the framework is to supply the Contracting Authority with virtual and hybrid event platform services for the multiple event types required throughout the academic year. Tenderers should note that planning for events may happen outside of the academic year.
The service must include project management, live event production, rehearsals along with post-live event data and analytics inclusive and not limited to analysis of attendees, activity on sessions, registration data and feedback.
The technical elements of these events are of great importance to ensure security, back-up internet access systems, a choice of platforms for differing levels of functionality as required, easy access by participants/audience, and to maximise cost-effectiveness.
The type and nature of the events required at set out at a high level below.
1. Tier 1- Single campus/Information sessions/ Mini conferences/Hybrid element -
2. Tier 2 - Multi Campus (<6)/Multi Streams/ Large conferences/Hybrid
3. Tier 3 - TU events/Larger scale Multi Campus (>6)/Hybrid
Details on the indicative requirements for each of these types of events are set out more fully in RFT Appendix 1.

Additional information

Due to market response this is now a single operator framework agreement. The Contracting Authority estimates that value of the framework agreement will not exceed €10,000,000 excluding VAT over the lifetime of the framework agreement (i.e., max. four years). The Contracting Authority anticipates that the average value of contracts awarded for each type is as follows:
 Tier 1 – up to €10k (excluding VAT)
 Tier 2 – up to €20k (excluding VAT)
 Tier 3 – over €20k (excluding VAT)
On average, it is estimated that;
o 50% of contracts will be Tier 1 events;
o 25% of contract will be Tier 2 events and
o 25% will be Tier 3 events
The breakdown of the types of events is subject to the requirements of the Contracting Authority It is emphasised, however, that this figure is provided strictly for indicative purposes only as there is no guaranteed expenditure under the framework agreement.
