CIE and its subsidiary operating companies wish to procure an off the shelf board portal system. The current platform used by Boards, Board Committees, Board Advisory Groups and the management teams across the CIE Group (approximately 113 users across 21 meeting sites), for the distribution of papers for meetings will not be supported in the long term and it does not support multi factor authorisation (MFA). Therefore, there is a demand to replace the current platform. In addition, papers are also supplied in pdf format.

Description of the procurement

CIE and its subsidiary operating companies wish to procure an off the shelf board portal system. Therefore, there is a demand to replace the current platform. In addition, papers are also supplied in pdf format.
The CIÉ Group is seeking a software application to electronically manage and distribute documents for Board, Committee, Advisory Group, Management and other meetings across the CIÉ Group of companies in a secure manner. We expect, that the system should feature the following elements:
• Cloud based SaaS and accessible via any device at any time.
• Easy to use with minimum training required.
• Centralised Document management.
• Multilevel permissions.
• Security (including Multi-Factor Authentication).
• The ability to easily print a PDF version of the papers or an extract from the papers.
• Migration option from existing system.
