MBH/2016 - Provision of Document Scanning Services to the Mother and Baby Homes Commission of Investigation.

The provision of document scanning services required by the Mother and Baby Homes Commission of Investigation ("the Commission") is for 500,000 to 800,000 documents initially and on an as required basis. The Commission will require batch scanning services at various locations in the State as part of the initial project. Additional ad hoc scanning services may also be required from time to time.The successful Tenderer shall provide document scanning services for such locations as may be required by the Commission. The successful Tenderer must be able to relocate scanning personnel and equipment for short periods of time (1 week to 1 month estimate) depending on the amount and location of the documents to be scanned. It is envisaged that up to five locations may be used for scanning documents. It is expected that these locations will be completed sequentially. It is expected that the majority of the scanning will be completed at one location in the greater Dublin region.The successful Tenderer shall provide the equipment and all other hardware, software and any other materials which may be required by the Commission for the provision of the Services. This includes secure portable data transfer devices for the movement of the scanned images to the Commissions offices.The successful Tenderer shall nominate a Project Manager, who will be employed and appointed by the Tenderer. Their role is to oversee and monitor the progress of this scanning project on a day to day basis and provide weekly electronic updates to the Commission nominated Project Manager. They are also responsible to ensure strict compliance with the budget, timescale and quality control/validation and to bring to the attention of the Commission any deviation or issue that may arise in a timely fashion.
